UT Department System: Department Information Page Help
When first accessing the Department Information page, the user may see only the Select Department section.
Select Department
This section allows the user to choose the department they would like to view. Enter the department or sub-department code and click Get information to pull up the current department information. The Department code link will pull up the department pick list window. Clicking on a department automatically fills the text field on the Department Information page.
The section also contains a "for past/future semester" checkbox. Selecting this option brings up a semester drop-down menu (allowing the choice of fall, spring and summer), as well as a text field for entering the year. While the normal view displays current information about a department, there are also semester logs which may contain information about the department as it existed in past semesters and will exist in the future (for example, if change documents have been created with effective dates in future).
Click Get information to retrieve the information for the selection you have listed.
Managers/Updaters
This section lists the managers and updaters for this department.
Department Heads
This section displays the department heads for the department.
Reports to Departments
These are links to the Department Information pages of the departments that this department reports to.
Department
This section displays the addresses, title, types, and attributes of the department.
Reporting Departments
These are links to the Department Information pages of the departments that report to this department.
Identifiers
This section displays the identifiers for the department.
Affiliated Departments
These are links to the Department Information pages of departments that have a close association with this department.
Internal Departments
These are links to sub-departments with the type "internal to department."
Department History
This section contains historical information including the begin date of the department (may not be available for departments that existed prior to the Department System application), end date of the department, previous department codes, and next department codes.
Department Change Information
This section includes information related to change documents associated with the department, including the date the change is effective, the current doc ID, the pending doc ID, and the last review date. There is also a link to the History of Changes pop-up window.
The Current Doc ID is the document ID that is associated with the department information which is current, there may be newer documents which will be current at a later effective date. The Last Review is the date on which the latest final approved document was created.
The History of Changes page shows all Department System documents associated with a department in a pop-up window. The documents are listed in a table by date of approval, with the most recent at the top. The information displayed in a table is:
- Document ID
- Document type (new, review, change)
- Date of document final approval
- Effective date
- Expiration date

"Superceded by"
(The superceded column displays the document ID of the document that was created after that line's document and whose data supercedes its data about the department.)
When you click on a document ID you will close this window and travel to the chosen document.
