Help Using UTDRIVERS
Please review the information contained in UT System’s UT System Policy (UTS) 157 to learn more about The University’s policies concerning drivers and the authorized use of University-owned vehicles.
You can navigate and use UTDRIVERS using the links in the Navigation Menu on the left side of the page. The functions are summarized below:
E. Authorizing Other Users to Make Updates in UTDRIVERS
The driver listing pages allow you to search for individual drivers using a particular attribute—name, department, or driver’s license number.
- Click the List drivers by name link for a list of drivers sorted by last name.
- Click the List drivers by department link for a list of drivers sorted by UT department.
- Click the List drivers by license link for a list of drivers sorted by driver's license number.
If a driver’s name appears as a link, you may click it to go to the driver detail page, where you can view, update, or delete the driver's information.
To find a specific driver, you must know the driver's UT EID. Click the EID Look-up link in the Navigation Menu to find a driver's UT EID.
- Click the Find a driver link in the Navigation Menu.
- Enter the UT EID of the driver you wish to find.
- Click the Get driver information button
The system will load the driver detail page, where you can view, update, or delete the driver's information.
C. Adding a Driver
To add a driver, you must know the employee's UT EID, two-character Department Code, and Texas Driver’s License number. Click the EID Look-up link in the Navigation Menu to find a driver's UT EID. Click the Department Code Look-up link in the Navigation Menu to find the code for the department. Obtain a copy of the employee’s Texas Driver’s License to find the license number.
- Click the Add a driver link on the Navigation Menu.
- Enter the employee’s UT EID and Department Code.
- Click the Add Driver button.
- On next screen, enter the required information from the employee’s Texas Driver’s License and applicable Position and Training Information options.
- Click the Add New Driver button.
You may delete the information of any driver employed in one of the departments for which you are authorized in UTDRIVERS.
- Find the driver to be deleted in one of the driver listings.
- Click the name of the driver to go to the driver's detail screen.
- Click the Delete This Driver button.
- Click Yes to confirm that you want to delete the driver’s information from the system
E. Authorizing Other Users to Make Updates in UTDRIVERS
The List Authorized Users and Authorize a User links are only visible to department administrators with Delegate status (Delegators). To add authorizations, you must know the employee's UT EID and two-character Department Code. Click the EID Look-up link in the Navigation Menu to find a driver's UT EID. Click the Department Code Look-up link in the Navigation Menu to find the code for the department.
- Click the List Authorized Users link to view a list of everyone in the specified department with either Delegate or Update status.
- Click the Authorize a User link to grant UTDRIVERS Update status to other employees in the department.
- Enter the employee’s UT EID.
- Enter the appropriate Department Code.
- Click the Add Authorization button to add the employee as an authorized UTDRIVERS Updater for the specified department.
