Select Type of Hire

The Select the Type of Hire is a drop down field where you can choose the type of hire. The options include Staff Hire from a Posting, Staff Direct Hire (e.g. Non-benefits Eligible), Student Direct Hire and Nonemployee Direct Hire (e.g. University Affiliate). *Note that the type of hire request you create will dictate what options display in the request form that is created.

After you have made the appropriate choices, click Continue to create the form. The following fields will display in various combinations, based on the selections you made on the Select Type of Hire page. You may not see all of these fields, depending on what type of form you created.

Request Information

The Request Information section includes fields to enter the requester’s UT EID, a description, and request notes.

The requester is the person who creates the request form. By default, the user’s UT EID displays in the Requester UT EID field. To change this, type in a different UT EID or click the lookup icon lookup icon to search for an individual.

The Description is a free form field. Note: Do not include confidential information in the description, as this information appears to anyone authorized to search on HR forms on the Search page.

The Request Notes is a free form field, which allows the requester to add notes up to 1000 characters.

Hire Information

The Hire Information section displays the choices you made on the Select Type of Hire page.

Position/Job Information

The Enter the Workday Requisition ID is a field where the Workday Requisition ID can be entered.

The Describe the Job Posting being hired into field is a free-form field where the job posting can be explained in detail.

The UT EID and Name fields are where the UT EID or the name are entered. Either the UT EID or the name is required. (Note that the UT EID can be searched for using the magnifying glass icon).

The Justification is a required field to enter the justification for hiring the person into the position.

Position Information/Copy Job Information

The Position Manager’s UT EID and Name fields are where the manager’s UT EID or the name are entered. Either the UT EID or the name is required. (Note that the UT EID can be searched for using the magnifying glass icon).

The If the manager has multiple positions, indicate which position by providing the manager’s Position Title, Department, etc. is a free form field where a description can indicate which position to use if the manager has several positions.

The Describe the position that you are hiring into (position title, previous incumbent, etc. is a free-form field where a description can be entered to describe the position being hired into.

The Describe the job to be copied from (e.g. job title, current/previous incumbent) is a free-form required field where a description of the job to be copied from can be entered.

Job Code

The Job Code is a drop-down menu from which to choose a job code.

The If Other, describe the Job Code or Title to be used is a free-form field where the Job Code or Title can be entered if not found in the Job Code drop down field.

Working/Business Title

The Working/Business Title is a free-form field where a proposed working or business title can be entered.

The Justification/Reason is a free-form field where a justification for the title can be entered.

Position Location

The Location for the position is a free-form field where the location for the position can be entered.

Employment Dates

The Proposed Start Date is a required field for the proposed employment start date.

The Proposed End Date is a field for the proposed employment end date.

Rate

The Hours Per Week is a field for hours worked in one week.

The Hourly or Salary is a drop down field where you can choose if the employee is hourly or salary.

The Annual or Hourly Rate is a field where you can enter the annual or hourly rate for the employee.

The Notes/Comments/Justification is a free-form field where notes or justification for the rate can be entered.

The Work Study is a drop down field where yes or no can be selected.

Nepotism

Employee Name/ Relationship to New Hire/Employee Department is a free-form field where you can enter information about an employee if they are related to another employee by kinship or marriage.

Funding

Free-form Describe the Funding is a check box that when selected will open a free-form field where a description of how the job is to be funded can be entered.

Enter Details for Job Funding is a check box that when selected will open several boxes below where you can enter a Time Block. In the time block field you can enter begin and end dates, as well as add an account number or description and enter the funding percentage.  Department codes can also be entered by selecting the check box.  Additional time blocks can be entered.

*Note: At least one of these two check boxes are required.

Incidental Account

The Account Number is a field where you can enter an account number. These can be used for background checks, ID cards, etc.

The Account Description is a free-form field where you can enter information about the account being used.  *Note: At least one account is required.
