HR - Hire (Assign) Request

Request Information

The Request Information section includes fields to enter the requester’s UT EID, a description, and request notes.

The requester is the person who creates the request form. By default, the user’s UT EID displays in the Requester UT EID field. To change this, type in a different UT EID or click the lookup icon lookup icon to search for an individual.

The Description is a free form field that defaults to “HR - Hire (Assign) Request,” but can be edited by the requester or anyone to whom the form is assigned. Note: Do not include confidential information in the description, as this information appears to anyone authorized to search on HR forms on the Search page.

The Request Notes is a free form field, which allows the requester to add notes up to 1000 characters.

Assignment Information

The Is this for an employee, student, or university affiliate? drop-down field is used to indicate the type of individual filling the position. Depending on the selection, different input fields appear in this section.

Employee Assignment Information

The Employee Information fields are used to enter either the employee UT EID or employee name. Only one field or the other is required. Click the lookup icon lookup icon to search for an individual’s UT EID.

The Position Information fields are used to enter the position ID that the individual is being assigned to, if known. The user can enter in the Position Description field, a position description that best fits what the position entails. Only one field or the other is required.

The Offer Date field is used to enter the date the position was offered.

The Start Date field is used to enter the date when the assignment starts.

The End Date (for temporary assignments) field is used to enter the date when a temporary assignment will end.

The Justification is a free from field used to enter the justification for hiring the employee to the position.

The Hours per week field is used to enter the amount of hours per week for the position.

The Annual Salary Rate field is used to enter the annual salary for the position.

Student Assignment Information

The Employee Information fields are used to enter either the employee UT EID or employee name. Only one field or the other is required. Click the lookup icon lookup icon to search for an individual’s UT EID.

The Position Information field is used to enter the Position ID being filled.

The Effective Date(s) drop-down field is used to select the range of dates for the student assignment, corresponding to the academic semester.

The Hourly Rate field is used to enter the hourly rate of the assignment.

The Hours per week field is used to enter the hours per week of the assignment. 19 hours is the recommended maximum for a student position.

The Work Study Assignment radio buttons are used to select if the position is a work study assignment or not. If the user selects Yes, the Work Study contact UT EID, HAWS Job ID, and Account number for incidental expenses fields appear.

The Work Study contact UT EID field is used to enter the UT EID of the work study contact. The work study contact is the incumbent’s work-study liaison. Click the lookup icon lookup icon to search for an individual’s UT EID.

The HAWS Job ID field is used to enter the ID number from the UT Hire a Work-Study system.

The Account number for incidental expenses field is used to enter the account number for incidental expenses for the work study assignment.

University Affiliate Assignment Information

The Employee Information field are used to enter the employee UT EID. Click the lookup icon lookup icon to search for an individual’s UT EID. If the university affiliate does not have a UT EID, go to https://idmanager.its.utexas.edu/eid_self_help/.

The Position Information field is used to enter the position ID of the assignment. Note: The university affiliate will have the attributes assigned to that position ID.

The Start Date field is used to enter the start date for the assignment.

The End Date (for temporary assignments) field is used to enter the end date of the assignment.

The Hourly Rate field is used to enter the hourly rate of the assignment.

The Hours per week field is used to enter the hours per week of the assignment.
